Recallio for Freelancers: Managing Client Research and Project Resources

Freelancers work across multiple clients simultaneously. Here's how to keep each client's research, resources, and references cleanly separated in Recallio.

Freelancers have a unique bookmark problem: multiple clients, often in different industries, often active simultaneously. A link saved for Client A shouldn't be in the same place as research for Client B. And when a client project ends, you want to archive cleanly — not lose the research that might be useful when a similar project comes up.

A collection structure for freelancers

Clients
  └── [Client A Name]
  └── [Client B Name]
  └── [Client C Name]
Archive (clients)
  └── [Former Client Name]
Personal Work
  └── Portfolio
  └── Business Development
  └── Skills & Learning
Shared Resources
  └── Tools I Use
  └── Proposals & Templates
  └── Pricing Reference

Clients: One collection per active client. Everything related to that client lives here — their industry research, competitor links, brand assets pages, their own site(s), any tools they use that you need to reference.

Shared Resources: Things useful across all client work — tools, your own templates, pricing benchmarks. Cross-client resources stay here rather than being duplicated per client.

Personal Work: Your own business — portfolio, prospecting research, professional development.

Per-client collections in practice

When you start a new client project:

  1. Create a collection under Clients: Clients / [Client Name].
  2. Save the client's website, their social profiles, their competitors.
  3. Save any brief, scope document, or spec they've sent you (as the URL if in Google Drive, or as a bookmark with the content summarised in the description).
  4. Save industry resources specific to their domain.

Everything the project needs is in one collection. When you switch between clients, switching collections gives you instant context.

Descriptions for client context

Client bookmarks benefit from a specific description format:

"Client: TechCorp — their main checkout page. They're redesigning this in Q1; current version is what we're benchmarking against."

Including the client name in the description makes search work across clients: searching "TechCorp checkout" finds it even if you've forgotten which collection you filed it in.

Business development research

When prospecting for new clients:

  • Save the prospect's website and edit the description: "Potential client — redesign might be needed, site is 6 years old. Contact: hello@ email on About page."
  • Tag with prospect.
  • Create a Smart Collection filtered by prospect to see all prospecting activity in one view.

When a prospect converts to a client, remove the prospect tag, move to the Clients collection, and update the description. When a prospect goes cold, archive or delete.

Pricing and rate research

Freelance rates are notoriously opaque. Save salary surveys, freelance rate reports, and industry benchmarks in your Pricing Reference collection. Put the date in the description — rate data ages.

When quoting a new project, filter this collection to see current market data. It makes rate conversations evidence-based rather than gut-feel.

Archiving completed client projects

When a project ends, bulk-select the client collection's bookmarks and move them to Archive (collections can't nest into Archive — it's a flat system collection). There's no dedicated field for notes on a collection itself, so put the wrap-up context in the description of a key bookmark instead: "Project completed 2026-10-01. Total: £8,500. Deliverable: full redesign."

The archived bookmarks remain searchable. When you pitch a similar client a year later, searching your archive for prior work in that industry surfaces the research you already did.

Handing off to clients

For projects where you deliver a resource list (recommended tools, further reading, setup docs), use Recallio's public collection share. Build a collection of handoff resources during the project, make it public at delivery, and include the link in your final handoff document. Clean, permanent, and no account required for the client to browse it.
